This policy defines the legal standards, documentation, and condition verification required when physical custody of furniture transfers between Subidha Furniture and customers.
1. Legal Nature of Custody Transfer
**Direct Sale Handover**: Handover transfers full possessory custody and ownership title (provided 100% payment has cleared).
**Rent and Lease Handover**: Handover transfers possessory custody under a contract of bailment. Full legal title and ownership remain strictly with Subidha Furniture.
**Advance Delivery (Lucky Plan)**: Handover transfers possessory custody under hire-purchase terms with title retention until full contract settlement.
2. Joint Handover Inspection Protocol
At the point of delivery, the delivery crew and recipient must jointly inspect:
Need transaction-specific confirmation?
Please confirm invoice, EMI, refund, warranty, delivery, and compliance terms with the branch before payment.
**Woodwork & Finish**: Absence of transit scuffs, scratches, finish chipping, or peeling laminate.
**Structural Stability**: Alignment of dining tables, sofas, beds, and wardrobes without wobbling or racking.
**Functional Components**: Smooth sliding of drawer runners, proper closure of wardrobe doors, firm engagement of locks, and operation of bed hydraulics.
**Fabric & Upholstery**: Clean, stain-free fabric without tears, loose threads, or sagging cushions.
3. Mandatory Proof of Delivery (POD) Documentation
Custody transfer is legally consummated only upon complete execution of the Proof of Delivery protocol:
**Physical Handover Note**: Signed by the customer acknowledging receipt of all items in acceptable, undamaged condition.
**Photographic Evidence**: Minimum of two (2) digital photographs depicting the installed items in the customer's room.
**Delivery Crew Audit**: Record of driver identity, delivery vehicle registration, and mobile GPS coordinates logged into the fulfillment desk.
4. Exception Handling at Handover
**Transit Damage Reported at Delivery**: If transit damage is noted during handover:
Specific defects must be documented on the handover challan prior to signing.
The delivery crew reports the exception immediately to the Service Desk.
Minor blemishes trigger a priority on-site technician dispatch within 48 hours; major defects trigger immediate return and replacement.
**Refusal of Acceptance**: If the customer refuses delivery due to unapproved specification mismatch, items return to the warehouse with `RETURN_REQUESTED` status for managerial investigation.
Legal usage note
